This Privacy Policy explains how personal data is collected, used, shared, and retained when you use the Tenivo website and product.
1. Controller and contact
Tenivo is currently operated by Vladimir Bogomolov from Prague, Czech Republic.

2. Roles in processing
- For account and website operations, Tenivo acts as a data controller.
- For workspace data processed on behalf of business customers, Tenivo acts as a data processor under customer instructions.
A Data Processing Agreement (DPA) is available for business customers. To request it, contact info@tenivo.net.
3. Categories of data
We process:
- account data (name, email, credentials, workspace membership);
- workspace and contract data (files, extracted text, obligations, comments, reminders);
- technical and security data (IP-derived signals, user agent, access logs, timestamps);
- anti-abuse verification data for legal request forms (human verification tokens, IP-derived signals, and challenge outcomes);
- usage data (feature interactions and product events);
- support and communication data.
4. Purposes and legal bases
We process personal data for:
- account creation, authentication, and workspace access;
- operating contract and obligations workflows;
- sending transactional messages, invites, and service notices;
- security monitoring, abuse prevention, and incident response;
- customer support and service improvement;
- legal compliance and defense of claims.
Legal bases used:
- Performance of a contract (service delivery);
- Legitimate interests (security, reliability, support, and product operations);
- Consent (optional analytics cookies and similar optional tracking);
- Legal obligation (where required by law).
5. AI-assisted processing
Tenivo may use automated and AI-assisted extraction for contract metadata and obligations. This processing is performed to provide and improve the service.
AI Processing Details
- Service: Contract analysis and obligation extraction
- Provider: Anthropic (Claude API)
- Data: Uploaded contract PDFs and DOCX files
- Purpose: Extract counterparty, dates, obligations, renewal terms, and governing law
- Legal basis: Performance of contract (user uploads contract to us for analysis)
- Important: AI outputs can be incomplete or incorrect. Outputs are not legal advice. Users must review extracted data before operational or legal reliance.

6. Sharing and subprocessors
We share data with service providers required to operate Tenivo (for example hosting, storage, database, email, authentication, analytics, and AI processing).
For anti-abuse checks on legal request forms, we use Cloudflare Turnstile to verify submissions are made by a human rather than automated scripts.

We do not sell personal data.
7. International transfers
Some providers may process data outside the EEA. Where required, Tenivo uses appropriate safeguards, including Standard Contractual Clauses and related transfer measures.
8. Retention
Retention periods and deletion windows are described in the Data Retention and Deletion Policy.
9. Security
We use reasonable technical and organizational measures to protect data, including access controls, encrypted transport, and operational safeguards. No system is completely secure.
10. Cookies and analytics
Strictly necessary cookies are used for authentication and core security. Optional analytics cookies are enabled only after consent through the cookie banner. See the Cookie Policy.
11. Your rights
Depending on applicable law, you may have the right to:
- access your personal data;
- rectify inaccurate data;
- request deletion;
- restrict or object to processing;
- data portability;
- withdraw consent for consent-based processing.
